This Privacy Policy explains how Kitso Interactive Education (Pty) Ltd ("KIE", "we", "us", "our") collects, uses, shares and protects personal information when you use the BW Champs mobile application and website at bwchamps.co.bw (together, the "Platform").

KIE is a company registered in Botswana (CIPA registration number BW00009807847) with its registered office in Boseja, Maun, Botswana. We are the data controller responsible for your personal information.

In short: BW Champs is an exam-preparation platform for students. We collect only the information we need to run the Platform, we never sell your personal information, and we take particular care with information belonging to children.

1. Information We Collect

1.1 Information you give us

  • Account information: your name, email address, and password (stored in encrypted form).
  • School and academic information: your school name, form level (Form 1–5), and curriculum (JC, IGCSE or BGCSE).
  • Communications: messages you send us by email or through the Platform.
  • Competition entries: information you provide when entering competitions, including any passcode used.

1.2 Information created as you use the Platform

  • Learning activity: quizzes attempted, answers given, scores, streaks, coins earned, badges, and progress over time.
  • Competition and leaderboard data: your rank, points, and results.
  • Video activity: which lessons you view.

1.3 Information collected automatically

  • Device and technical data: device type, operating system, app version, and general log data.
  • Usage data: pages or screens viewed, features used, and time spent.

1.4 Payment information

If you purchase a premium subscription, payments are processed by our payment provider (First National Bank of Botswana and its payment gateway partners) or by Google Play Billing. We do not collect or store your full card number, CVV, or banking credentials. We receive only confirmation of payment and limited transaction details needed for our records.

We do not sell your personal information. We do not share your personal information with third parties for their own advertising purposes.

3. Children's Privacy

BW Champs is designed for secondary school students, and we know that many of our users are under the age of 18. We take this responsibility seriously.

  • We collect only the minimum information needed for a student to use the Platform.
  • We do not require students to provide a physical address, identity number, or photograph.
  • We do not show behavioural or personalised advertising to children.
  • We do not knowingly build advertising profiles of children.
  • Leaderboards display a student's name (or chosen display name) and school only — never contact details.

Parents and guardians: if your child is under 18 and you would like to review, correct or delete their information, or withdraw consent, please contact us at admin@bwchamps.co.bw and we will act on your request. If we become aware that we have collected information from a child in a way that is not permitted, we will delete it promptly.

4. Legal Basis for Processing

Under the Botswana Data Protection Act, 2018, we process personal information where:

  • you (or a parent/guardian, where applicable) have given consent;
  • processing is necessary to perform our contract with you (providing the Platform);
  • processing is necessary to comply with a legal obligation; or
  • processing is in our legitimate interests (such as improving the Platform and preventing fraud), balanced against your rights.

5. Sharing Your Information

We share personal information only in these limited circumstances:

  • Service providers: hosting, database, analytics and email providers who process data on our behalf under contract.
  • Payment providers: First National Bank of Botswana, its gateway partners, and Google Play Billing, to process your payment.
  • Schools: where a school subscribes on behalf of its students, we may share that school's own students' progress and results with the school.
  • Sponsors: where a competition is sponsored, we share only aggregated, anonymised statistics (for example, total participants). We do not share students' personal information with sponsors. Winners' names are shared only with their consent (or a parent's consent where the winner is a child).
  • Legal: where required by law, court order, or to protect the rights and safety of users.

6. International Transfers

Some of our service providers store data on servers outside Botswana. Where information is transferred outside Botswana, we take reasonable steps to ensure it is protected by appropriate safeguards, in line with the Data Protection Act, 2018.

7. How Long We Keep Information

  • Account information: for as long as your account is active.
  • Inactive accounts: deleted or anonymised after a reasonable period of inactivity.
  • Transaction records: retained as long as required by Botswana law.
  • You may ask us to delete your account at any time (see section 9).

8. Security

We use reasonable technical and organisational measures to protect your information, including encrypted connections (HTTPS), hashed passwords, access controls, and secured databases. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your Rights

Subject to Botswana law, you have the right to:

  • access the personal information we hold about you;
  • correct information that is inaccurate or incomplete;
  • request deletion of your information;
  • object to or restrict certain processing;
  • withdraw consent at any time (this will not affect processing already carried out);
  • lodge a complaint with the Information and Data Protection Commission of Botswana.

To exercise any of these rights, email admin@bwchamps.co.bw. We will respond within a reasonable period.

Deleting your account: You can request deletion of your BW Champs account and associated data at any time by emailing admin@bwchamps.co.bw with the subject line "Delete my account". We will confirm once this is done.

10. Cookies and Similar Technologies

Our website uses cookies and similar technologies to keep you signed in, remember your preferences, and understand how the Platform is used. You can control cookies through your browser settings, though some features may not work correctly if cookies are disabled.

11. Third-Party Links

The Platform may contain links to third-party websites or services. We are not responsible for their privacy practices, and we encourage you to read their privacy policies.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you through the Platform. Please review this page periodically.
